Highlights

The programme is designed for archivists or those engaging in records management related functions who wish to update their professional knowledge and skills, widen their international exposure and obtain an academic qualification for their profession. All lectures and seminars are conducted by academics and archives specialists that are prominent experts in the subjects they teach.

The programme is jointly organized by the International Council on Archives - East Asian Regional Branch (EASTICA) and HKU SPACE.

The programme aims to guide students to plan, establish and manage archives in their organisation to meet business, legal, fiscal, and cultural purposes. It is designed for archivists and records managers who wish to update their professional knowledge and skills, increase their international exposure and obtain professional training for the archival profession. 

On completion of the programme, students should be able to  :

  1.       i) Apply the most updated theories and practice in archives and records administration; 

ii) Critically analyse the issues, methods and problems in managing office documents and business records; 

iii) Analyse the importance of an archive and its role within an organisation; 

iv) Synthesise the major concepts of archives especially in areas of acquisition, description, access and use;  

v) Manage electronic records and archives effectively and efficiently within an organisation 

All lectures and seminars are conducted by academics and archives specialists from the world over.  All instructors are prominent experts in the subjects they teach.

Programme Details

This is a three-week intensive programme comprising not less than 100 hours of lecturing, seminar and visit. The programme introduces to students:

Introduction: the universe of archives and archivists Assist students learn and apply English archival terminologies, gain knowledge and skills in managing archives, understand archive administration principles, and learn about records-related laws and professional standards
Current records management: fundamental principles and theories Provide students with an understanding of the principles, procedures, rules, and techniques involved in current records management. Covers the record life cycle, records continuum, the role of records managers in various industries, institutions, and government
Archival appraisal: principles and methodology Focuses on teaching students the principles and techniques of appraisal, weeding, and sampling in the context of archives and records management. Covers the revisiting of appraisal and selection criteria, methodology, and practice
Archives administration: accession, arrangement and description Provide students with an understanding of the principles underlying archival description and the applicable national and international standards. It covers the influence of information technology on archival description and the electronic dissemination of archival information
Introduction to electronic records and archives management Aims to equip students with the knowledge and skills required for the long-term management of organizational and personal records using electronic records management systems
Project Provide students with the knowledge and skills necessary to identify an archival issue topic and conduct an archival project. It emphasizes the standards for producing a well-structured technical report

Certificate will be awarded to candidates who have completed the following requirements:

  1. achieve at least 75% attendance; and
  2. achieve a pass in class exercises and assignments; and
  3. achieve a pass in a written report to be submitted within ONE month after the end of lectures.

On request, overseas student will be assisted in making accommodation arrangements during their stay in Hong Kong. Room rate is approximately HK$1,200 per day (single/doucle occupancy), subject to 10% service charge. Please note that room rates depend on individual hotel/guest house.

Entry Requirements

Applicants shall: 

1.                hold a bachelor’s degree awarded by a recognized university;  

AND 

2.                preferably have 2 years records, archives or relevant work experience; 

If the degree or equivalent qualification is from an institution where the language of teaching and assessment is not English, applicants shall provide evidence of English proficiency such as :  

                                                          i.an overall band of 6.0 with no subtests lower than 5.5 in the IELTS; or 

                                                         ii.a score of 550 in the paper-based TOEFL, or a score of 213 in the computer-based TOEFL, or a score of 80 in the internet-based TOEFL; or 

                                                        iii.HKALE Use of English at Grade E or above; or 

                                                       iv.HKDSE Examination English Language at Level 3 or above; or 

                                                        v.equivalent qualifications. 

Applicants with other qualifications and relevant work experience will be considered on individual merit.

Payment Method
1. Cash, EPS, WeChat Pay Or Alipay

Course fees can be paid by cash, EPS, WeChat Pay or Alipay at any HKU SPACE Enrolment Centres.

2. Cheque Or Bank draft

Course fees can also be paid by crossed cheque or bank draft made payable to “HKU SPACE”. Please specify the programme title(s) for application and applicant’s name. You may either:

  • bring the completed form(s), together with the appropriate course or application fees in the form of a cheque, and any required supporting documents to any of the HKU SPACE enrolment centres;
  • or mail the above documents to any of the HKU SPACE Enrolment Centres, specifying “Course Application” on the envelope. HKU SPACE will not be responsible for any loss of personal information and payment sent by mail.
3. VISA/Mastercard

Applicants may also pay the course fee by VISA or Mastercard, including the “HKU SPACE Mastercard”, at any HKU SPACE enrolment centres. Holders of the HKU SPACE Mastercard can enjoy a 10-month interest-free instalment period for courses with a tuition fee worth a minimum of HK$2,000; however, the course applicant must also be the cardholder himself/herself. For enquiries, please contact our staff at any enrolment centres.

4. Online Payment

Online application / enrolment is offered for most open admission courses (enrolled on first come, first served basis) and selected award-bearing programmes. Application fees and course fees of these programmes/courses can be settled by using "PPS by Internet" (not available via mobile phones), VISA or Mastercard. In addition to the aforesaid online payment channels, new and continuing students of award-bearing programmes with available online service, they may also pay their course fees by Online WeChat Pay, Online Alipay or Faster Payment System (FPS). Please refer to Enrolment Methods - Online Enrolment  for details.

Notes

  • If the programme/course is starting within five working days, application by post is not recommended to avoid any delays. Applicants are advised to enrol in person at HKU SPACE Enrolment Centres and avoid making cheque payment under this circumstance.

  • Fees paid are not refundable except under very exceptional circumstances (e.g. course cancellation due to insufficient enrolment), subject to the School’s discretion. In exceptional cases where a refund is approved, fees paid by cash, EPS, WeChat Pay, Alipay, cheque, FPS or PPS by Internet will be reimbursed by a cheque, and fees paid by credit card will be reimbursed to the credit card account used for payment. 

  • In addition to the published fees, there may be additional costs associated with individual programmes. Please refer to the relevant course brochures or direct any enquiries to the relevant programme team for details.
  • Fees and places on courses cannot be transferrable from one applicant to another. Once accepted onto a course, the student may not change to another course without approval from HKU SPACE. A processing fee of HK$120 will be levied on each approved transfer.
  • HKU SPACE will not be responsible for any loss of payment, receipt, or personal information sent by mail.
  • For payment certification, please submit a completed form, a sufficiently stamped and self-addressed envelope, and a crossed cheque for HK$30 per copy made payable to “HKU SPACE” to any of our enrolment centres.
